Glossary

About Tells you name of the registered user.
Address Tabs On a contacts details page you will see two address tabs. One tab is for the contact's work address and the other is for their home address.
Alarm When you create a new event, you can add an alarm. The alarm will only appear on screen at the requested time if the 'CEFile' program is running.
Annotate A short description to accompany a phonecall, or a scanned image when linking in TCM
Backup A TCM tool that allows you to back up your data.
Balloon Help Small balloons that pop up on screen to offer advice. Most will appear once.
Call notes Notes you make when speaking to a contact on the phone. Enter short quick notes about the call by using the keyboard or buttons on a template that you have already created. See the 'Template Wizard' manual for more information.
CEFile A small TCM program that runs in the background. It's purpose is to alert you to any reminders that you may have set in the diary.
Company Folder This is where you store the company details and any contacts that work for the company.

Contact A person that is already in your TCM database.
Creating a Contact Folder

Where you store a contact's details (Friend, parents, or main contacts at a company, etc.).
Contact Management A system of organising your contacts and their correspondence in an efficient manner.
Contacts List This is what you see when you do a search for a contact within TCM.
Correspondence Any telephone calls, documents, emails, faxes that you receive from a contact.

Normal Folder, Company/Family Folder, Contact Folder
Document Archive This is a folder which records all your calls and document linking for each day.
Defragment A TCM tool that organise's the data within TCM so it is more efficient by being faster to appear on screen.
Deleting Folders For removing a folder from the TCM filing tree.
Delimiter A character in a database that seperates the data into it's various fields. Examples of delimiters are comma, semi colon, pipe, etc.
Demonstration A quick run through of an application and its uses.
Deskew A way of realigning images that you have scanned into TCM. See the 'Scanning Wizard' for more information.
Details You can view company and contact details by clicking the details button on the TCM filing system toolbar.
Diary (Event) An event in the diary is an appointment or call, that appears on the day you created it.
Display (Menu) A menu that gives you a choice of what you wish to see on screen.
Document Management A way of controlling documents easily and efficiently.
Document Pending Trays These are where all files are stored before being linked to the relevant contact.
Edit (Menu) This menu gives you access to the relocate and delete options.
Electronic Filing A way of reducing the amount of paper work in the office. Store all your paper files on your computer hard disk. Saving time and office space.
Email Electronic mail is a more efficient way of staying in touch with your contacts.
Events An event is something you do in TCM, e.g. make a phone call, link a document . All the events are stored so you have a complete record of your daily activities.
Export A tool which allows you to take a database from one application and store it in another.
FAQ's Short for Frequently Asked Questions. See the 'FAQ' section of the Installation Guide manual for answers to most of the questions you may want answering.
Favourites A tab on the search screen that shows the people who you search for on a regular basis. To add contacts to the favourites list see the 'Search for a contact' section in the Getting Started Guide.
Fax Numbers Like a phone number but a number for accessing a facsimile machine.
Faxes Documents that are sent over the phone lines.
Field Names These are database prompts, such as first name, surname name, position, company etc. in a database structure.
File (Menu) From here you can access the Import Wizard and also the TCM setup screen.
File Name Restrictions There is a length restriction on each path in the TCM filing system. TCM will alert you to this length when you overstep it.
File Versions A tool that displays the version number of the TCM modules.
Filing reference number A number given to a folder so that TCM can index the folder.
Filing System This is where all your normal company, & contact folders are kept.
Float over prompts (Tool tips) If you leave the mouse pointer over a button in TCM a box will appear on screen giving a short description of what that button is for.
Folder editing screen This screen is where you enter the title for the folder to be created, you will also see the filing reference number for the folder.
Folders Places where items like documents, images, and phone calls are stored on your hard disk.
General Reminder A notice that tells you when you need to call someone or have an appointment.
Help (Menu) Provides on-line or internet help.
Highlight What happens when you choose a folder in the TCM filing tree and just single-click on the folder with the left-hand mouse button.
HP ScanJet 5s A scanner from Hewlett Packard with a small footprint, useful for people on the move.
Import A tool which allows you to read a existing exported database into another contact manager.
Import Wizard This wizard imports all your exsisting database data into TCM. Details on using the Import wizard are in the 'Import Wizard' sheet.
In Place Editing This is an option that allows the user to change folder options and is activated by clicking on a folder twice (just like if the user had right-clicked on the folder), but slower than a double click.
Including An option to include the contents from one folder to another.
Incoming Calls Calls that come into the office.
Index TCM keeps an index of all your contacts in the filing tree.
Installation Setting TCM up on your computer (See Installation Guide for details).
Internet Pages Pages download from the internet can be stored and linked just like other documents.
Link Screen This is where you 'Link' your documents and scanned in images.
Linking A process of attaching a document to a contact.
Log in This is where you enter your name to access TCM.
Menus Lists that help with the functionality of an application.
Message Boxes A message box that pops up to remind you of a task you have to do.
Modules The name given to the various mini programs within TCM, e.g. Filing system, incoming/outgoing call, Diary etc.
Mouse A pointing device with buttons that you need to use with TCM.
Networking a system for linking computers together.
New Contact A contact that does not exist in the database of TCM
New Contact's tray A pending tray that stores all your new contacts, created when in the call screen, until you are ready to move them into the main filing system.
New Folders What you create when you enter a new contact.
Normal Folder A folder that you use to group company & contact folders.
On Hold Puzzle A little game that takes the boredom out of 'holding' when waiting to speak to a contact.
On-line Help Help that gets installed on your hard disk so you call call on it all the time.
Outgoing Calls Telephone calls made from the office.
PAF Postal Address File: gives rapid access to contact addresses. You type in the postcode and the contacts address should appear in front of you. Available from Apt Projects Ltd.
Paths These are a branch to where TCM's various folders are located on your hard disk. You can see where the folders are located on your hard disk by choosing properties when the filing system, daily archive or pending trays are open,or you can choose the 'Paths (Setup)' option in the file menu. These are set-up by TCM when it installs so you should never need to change them.
Pending Trays Where items are stored before being linked.
Phonetic Search The TCM search engine allows you to search on a 'sounds like' basis.
Pop-up Menu A pop-up menu gives you more choices for an item and is activated by single clicking the right hand mouse button.
Preferences A choice on the TCM Setup options screen, where you set the various options for the filing system.
Printing Prints the currently selected image.
Properties Various settings belonging to a folder, e.g. its path setting, name, reference number etc.
Rapid Address System. See PAF.
Rebuild A tool which gives you a choice of rebuilding the index, etc.
Recent A tab on the search screen that shows who you have searched for recently in TCM.
Refresh A right-click menu choice on a filing tree folder that you use to reload the branches of a tree.
Relocate (Cut) This is the first stage of moving a folder in the filing tree.
Relocate here (Paste) The second stage of moving a folder in the filing tree.
Reminders (Events) You can set-up a reminder for an event that pops-up on screen to alert you too the event. Only works if you have the CEFile program running.
Rescheduler Used for making reminders to call contacts back at a certain time.
Right Click A system of single clicking the right hand mouse button to access a pop-up menu.
TCM The application you are using.
Scanned Images Images obtained by way of a scanner.
Scanning Wizard A wizard that you use in conjunction with your scanner to scan in documents . See the 'Scanning Wizard' sheet for more information.
Search The TCM engine that allows you to search for contacts in the TCM filing tree
Setup (TCM) A control box in TCM that allows you to set-up various options.
Sharing An option for sharing the contents of one folder with another.
Single click A single click in TCM is a method for highlighting a folder when using the left-hand mouse button, a single click on the right-hand mouse button usually brings up a pop-up menu.
Spreadsheet An application that allows you to edit columnised data.
Status Bar Shows the time, date, etc.
Subfolders A sub-folder is the name given to a folder that resides inside another folder.
System Menu This menu gives you access to items in TCM which otherwise would not be available from the menu bar.
System Tray An area on the Windows 95 taskbar that shows what programs you having running in the background.
Task Bar A 'Bar' that contains buttons or icons that give access to the TCM modules or Wizards.
Telephone call screen The screen where you see earlier correspondence with a contact and where you make notes about the current conversation.
Telephone numbers A number you dial to get in contact with a contact.
Template A system that saves you from typing the same message in again and again.
Template Tab A template tab contains a message that you would normally type frequently. Just assign the message to a template tab and when you need that message just click on the tab instead of typing the message.
Template Wizard This wizard helps in the creation of new templates See the 'Template Wizard' manual for more details.
Text Qualifier Is a character such as a single or double quote that distinguishes fields from control codes.
Thumbnails Small pictures of bigger pictures that allow you to view the scanned images contained in a folder.
Time slot An entry in the Diary.
Tools (Menu) A menu that gives you access to the defragment, rebuild and backup tools in TCM.
User This is you.
User Definable Fields A field that you set up yourself on a contact or company folder details screen. Field names could be age, height, car, etc.
Unlink If you have linked an item to a contact by mistake use the unlink button to gain access to the unlink options. See the 'Guided Tour & System Overview' sheet for more details.
Windows (Menu) A menu that gives you access to the various TCM modules.
Winfax® Faxing software that turns your computer into a facsimile. TCM is able to display Winfax® faxes.
Wizards Small self contained programs that make elements of an application easier to use.
Workflow system A system that allows work to flow in a constant stream, instead of stop/starting to do a task.
Zoom A slide bar control that allows you to enlarge and shrink images that you are viewing in TCM.
